How to automate incident reporting in residential communities

From chaotic WhatsApp threads to a traceable flow: how to automate the reporting, triage and routing of incidents in owners' communities.

6 stagesof an automated incident flow

One resident calls the office. Another sends an email with no photo. A third writes to the community president, who forwards a two-minute voice note. All three are talking about the same leak.

That's how incident reporting works in many property management firms: multiple channels, incomplete information and an account manager piecing each case together by hand. Automating it doesn't mean losing the human touch. It means your team spends its time fixing problems, not transcribing them.

What manual reporting really costs

Run the numbers with your own figures. An illustrative example: a firm managing 60 communities that receives 6 incidents per community each month, and spends 12 minutes on each one just collecting details, asking for photos, calling the contractor and updating the resident, invests 72 hours a month in tasks that need no professional judgement. That's almost half of one person's working time.

Add the costs that never show up on a timesheet: duplicate incidents, contractors arriving without knowing what they'll find, and residents calling back because nobody told them where things stand.

The 6 stages of an automated incident flow

  1. A single entry channel. Residents always report in the same place: an app, a portal or the community's WhatsApp number.
  2. Structured capture. The system asks for what it needs: photo, location (entrance, floor, common area), description and contact. No complete details, no incident.
  3. Triage. Category (plumbing, electrics, lift, cleaning…) and urgency level, using consistent criteria.
  4. Routing. The incident is assigned to the right contractor for that community and trade.
  5. Tracking. The resident and the president can see the status without having to call.
  6. Closure and history. Every incident is logged with dates, photos and cost. That history is gold when preparing the owners' meeting and negotiating with contractors.

Manual vs. automated

StageManual processAutomated process
EntryPhone, email, personal WhatsAppOne channel per community
DetailsIncomplete, requested laterPhoto and location required
UrgencyDecided by whoever reads the messageFixed criteria, applied the same way every time
ContractorAccount manager makes a callAutomatic alert to the assigned contractor
Status"I'll call you when I know more"Visible to resident and president
RecordScattered or non-existentFull history per community

How to roll it out in your firm in 5 steps

  1. Map your current channels. For two weeks, note where each incident comes in. You'll be surprised how many there are.
  2. Define your categories and urgency criteria. Write them down. What isn't written down can't be automated.
  3. Assign contractors by community and trade. Include an on-call contact.
  4. Pick a channel residents already use. For many owners, especially older ones, WhatsApp works better than downloading a new app.
  5. Announce it at the owners' meeting and on the noticeboard. A poster with a QR code and a clear line ("For any breakdown, message us here") changes habits faster than any circular.

Which metrics to track

  • Time to first response to the resident
  • Resolution time by category and contractor
  • Repeat incidents in the same spot (a sign of poor repairs)
  • Volume per channel, to see whether the move to a single channel is working

How Wabee handles it

Wabee was born automating the operations of a Barcelona property management firm with more than 40 years of history. Incident reporting was one of the first things we built:

  • Owners report with a photo from the app or by chatting with the community's WhatsApp agent.
  • The AI classifies urgency using consistent criteria and contacts the contractor without the property manager stepping in.
  • Owners follow their incident from their portal, with access only to what concerns them.
  • Everyone at the firm has their own login, so there's a record of who did what.
  • Wabee has an open API by design, so it connects with the firm's other tools.

Frequently asked questions

Will older residents use an app? They don't have to. A WhatsApp agent lets them report from the app they already use every day.

Do I have to change contractors? No. Automation works with your existing network; only the way alerts reach them changes.

What about data protection? Check where the data is hosted and whether it's used to train models. At Wabee, data is hosted in the EU (Ireland) and is never used to train AI models.

Does the AI replace the account manager? No. It collects, organises and routes. The account manager supervises, decides complex cases and talks to the resident when needed.

Count the channels breakdowns reach you through today. If there are more than two, there are hours to win back every month. See how Wabee works
